We’re aware that many of us know we’re the ‘best person for the job’ and letting go can be hard. However, to grow and develop as an individual, we have to start taking on new work, roles and responsibilities. We won’t be able to do this efficiently if we don’t start letting go of some of our other jobs. Perhaps if we can be clear on the benefits of delegation.

Vilfredo Pareto was a nineteenth century scholar; he discovered that in any set of elements, the critical elements usually constitute a minority. This developed into the 80 / 20 rule or Pareto’s Principle. This means ‘a few [20 percent] are vital and many [80%] are trivial’. You can apply the 80/20 rule to anything from the science of management to the physical world. When you consider what’s most important, it allows you to be clear on what’s crucial and not crucial.

Delegating is a fantastic time management tool with incredible benefits both for you and the person you are delegating the task to. Don’t confuse delegating jobs with telling people what to do. When delegating, you don’t “tell someone to do stuff.” You give them responsibility and ownership of regular work; such as, ordering the stationery, collecting feedback from clients, updating clients with their job order.

Having less clutter saves you time. Taking on fewer jobs means you can focus and complete projects. This means making room for tasks that are the best use of your time. Being over committed means you’re not functioning as the best you can be.”

The overall objective is to develop a weekly plan that we use as a rough guideline in achieving our most important projects, tasks and priorities over a week. We then review each evening our rough plan to develop our daily action list. The daily action list is prioritised in order of tasks that need to be completed.

Good time management means you have a yearly plan that provides direction and triggers you to move forward. The yearly plan is broken into quarters so tasks are timely and spread out to help you manage and not become overwhelmed. From quarters it is broken into smaller sprints. That is two week blocks. In each quarter I have six, two week blocks. This is a terrific way of maintaining the big picture of time management.
